How we work at Atlas
One page. If you remember nothing else, remember the five in bold.
The tools, one job each
- ClickUp: your tasks, what to do by when. Also team chat.
- Frame.io: every video and every design, and all comments about them.
- Google Drive: footage and files. Never your desktop.
- Google Calendar: shoots and client calls, with the client code in the title.
- WhatsApp: the client. Only the AM talks there.
- The portal: reports, numbers, what needs someone. Alex and Junkai's view; you go there to generate a script or a report, nothing else.
Your day
- Open ClickUp, your Me view, sorted by due. That is your list. Nothing outside it is your job.
- Start the top task. Move it to In progress. Start the timer if you can.
- Everything you need is in the task's fields: script, footage, references, package. If a field is empty, comment once and @ the AM.
- Finish. Upload to Frame.io from your own login, one asset named exactly as the task title,
HOFT-B03-07 REE TOF P2-quotes H-CNF The Same Home. Statics as one PNG, carousels as one PDF of the slides in order, same way. - Move the task to Internal review. Do not comment "ready". The status is the message.
- Notes come back on the video or design in Frame.io. Upload the next version as a new version on the same asset, never a new file.
- When the AM moves it to Approved, you are done with it.
The five rules
- Every piece of work is a task before it starts. If someone asks you for something with no task, ask the AM for the task. Do not start without one.
- Status is the only signal. Move it when the truth changes. Never type "ready", "done" or "uploaded" as a comment.
- Talk on the thing. About a video or a design, comment in Frame.io on it. About a task, one comment on the task with one @. About the client, the client's channel. About your day, Standup.
- One asset per piece in Frame.io, named as the task, versions on it, from your own login. Video, static and carousel alike. This is how your work is counted as yours.
- Links live in fields, never in comments or descriptions.
Where to say it
| About | Where |
|---|---|
| A video or a design | Frame.io comment, on the pixel or the timestamp |
| A task, not the version | One comment on the task, @ one person, with a question or a decision |
| The client, but no task yet | The client's channel; the AM turns it into a task |
| Your day, who is out, a blocker | Standup, once a day |
| Something the client must hear | Tell the AM. Only the AM talks to clients |
Never a PNG in a ClickUp comment. Designs are reviewed on Frame.io like videos.
Never
- Rename a task, edit its description, or make a subtask.
- Put a password or card number anywhere in ClickUp.
- Delete anything. Cancel or close.
- Upload through a shared login.
- DM Alex or Junkai about a task. Put it on the task.
Reviews
One internal pass by Nigel within a day. Then up to two client rounds through the AM. A third ask becomes a change request and the piece waits. Same for video and design.
If
- The due date will slip: change it and comment why. Do not let it go overdue silently.
- Footage is missing: comment on the task, @ Nigel, keep going on your next task.
- The brief changed after v1: tell the AM; it becomes a change request. Do not edit the task.
- You are sick: tell Nigel in Standup; he moves your tasks.
- A tool is down: Standup, one message. Junkai owns it.
- You are not sure who owns something: the list says. Creatives, the Editor field. Media buying, Jonathan. Account, the AM. Shoots, Nigel.
For AMs, Jonathan and Nigel
Your sections are in the handbook: reporting, media buying daily check, revisions, shoots. Same five rules apply to you; you also own the status moves to Client review and Approved, the client's channel, and the month task's checklist, which is the record of your time.
Questions about this page go to Alex. It changes only when he says so.
